Matching Donors when Importing

When importing, GiftWorks gives you options of how to update existing donors. You can Let GiftWorks Decide or Choose the fields to use for matching donors.

If you choose to Let GiftWorks Decide you must map first, middle, last name and/or organization name OR the Display Name field. If you map first, middle, last name and/or organization name, the importer looks for a match of all name fields that are mapped. If the data in all of the fields matches (including blank fields), the importer will update that record. If there is more than one record in GiftWorks that matches in the same manner, the importer will update (or add data to) the first such record it finds.

If you map display name, the importer looks for a display name match. If the data in the display name field matches, the importer will update that record. If there is more than one record in GiftWorks that matches in the same manner, the importer will update (or add data to) the first such record it finds.

If you are aware of donors that have the same names in your import file, assign a value to the last name to differentiate the records. For example, if you have two different donors that are both named John Smith, add a value to the last name : Smith1, Smith2, etc. After the import, edit the donor information to the correct name.

If you choose to Choose the fields to use for matching donors you must choose the options you want to use to match. The most common use for this would be if you have a DonorId that you used to identify your donors in a previous program or if you are reimporting data and want to use the GiftWorksId to match. This process would allow you to NOT map any of the name fields mentioned above and would eliminate donor duplications.

To match address data that is being imported within a donor record that matches as described above, the Address Name (for example, home address, business address) field must be the same. Refer to the Import Guide for more detailed information on matching donors when importing.
