How to use the File Explorer Window

For GiftWorks Anywhere users your information is stored on a remote server. To access your data you use the Citrix Receiver. With Citrix you have two applications, GiftWorks and File Explorer GiftWorks. The file explorer window is where you can store your GiftWorks related information. The main reasons to use the File Explorer Window:

  1. When importing or adding your own letter into GiftWorks you will need to use the File Explorer window to move to the excel file or letter document (rtf) up to the server.
  2. When you export a Report or a SmartList, to be able to edit these files in excel you need to move them to your local computer.
  3. To setup GiftWorks Anywhere, you need to move your database file (.gds) up to the server.
  4. To setup GiftWorks Anywhere with QuickBooks, you need to move your QuickBooks Company file up to the Q Drive.

Importing Files/ Inserting Letters into GiftWorks:

When you want to import information into GiftWorks you will first need to save your excel file or letter file (rtf) and move it up to the Server. You will use File Explorer GiftWorks application to move the files to the server.

  1. Open the File Explorer GiftWorks application
  2. On the left click on Local Disk C: Click on Users Folder (or Documents and Settings)
  3. Click on your username folder Click on the Desktop folder or documents (depending on where saved the file)
  4. When you find your file right click on it and choose Copy
  5. Then on the left side click on Group Drive (G:) or Home Drive (H:) Which ever drive you choose you will right click and Paste your file to the folder you selected.

Exporting Files:

When you export SmartLists, Reports or Save a mailing you MUST save to the Home (H:) drive or Group (G:) drive first. You will use File Explorer GiftWorks application to move the files to your local machine.

  1. Open the File Explorer GiftWorks application
  2. On the left click on the Group Drive G (or Home Drive) and find your file
  3. When you find your file right click on it and choose Copy
  4. Then on the left side click on Local Disk C Click on Users Folder (or Documents and Settings)
  5. Click on your username folder Click on the Desktop folder or documents (depending on where you want to save it)
  6. Then right click and Paste your file to the folder you selected.

Moving your Database File:

When you are first starting up GiftWorks Anywhere, the first step you will want to do is move your database file (.gds) up to the Group Drive. It will need to be on the Group Drive especially if you have multiple Citrix User Accounts. You will use File Explorer GiftWorks application to move the files to the server.

  1. Open the File Explorer GiftWorks application
  2. On the left click on Local Disk C: Click on Users Folder (or Documents and Settings)
  3. Click on your username folder
  4. Click on the Desktop folder or documents (depending on where saved the file)
  5. When you find your file right click on it and choose Copy
  6. Then on the left side click on Group Drive (G:).
  7. If you want to you can right click and click New > Folder, and name it GiftWorks.
  8. Then in the GiftWorks folder on the Group Drive right click and Paste the database file.

Moving your QuickBooks File:

If you have chosen to use QuickBooks with GiftWorks Anywhere you will need to move your QuickBooks company file up to the QuickBooks (Q:) Drive.

You will use File Explorer GiftWorks application to move the files to the server.

  1. Open the File Explorer GiftWorks application
  2. On the left click on Local Disk C:
  3. Click on Users Folder (or Documents and Settings)
  4. Click on your username folder
  5. Click on the Desktop folder or documents (depending on where saved the file)
  6. When you find your file right click on it and choose Copy
  7. Then on the left side click on QuickBooks (Q:) Drive, and right click and Paste your QuickBooks Company File.

**These directions can vary depending on the version of Citrix you have installed, or your organizations internal network. However, the majority of the steps are exactly the same. If you are using a Mac

Sign in to Citrix through portal with the username and password you received in the Setup

Instructions letter

Choose File Explorer GiftWorks application

  • Click the arrow to the left of Computer
  • Click the arrow to the left of Local Disk (C)
  • You should see a Desktop folder – click on this folder. You will now see all of the files that are on the Desktop of your local computer on the right side of the File Explorer window.
  • Click on the .gds file and drag it over to the G: drive.

If you are using a PC

Sign in to Citrix with the username and password you received in the Setup Instructions letter

Choose File Explorer GiftWorks application

  • Click the arrow to the left of Computer
  • Click the arrow to the left of Local Disk (C) drive
  • Click the arrow to the left of Users
  • Click the arrow to the left of the folder for your Computer Username
  • You should see a Desktop folder – click on this folder. You will now see all of the files that are on the Desktop of your local computer on the right side of the File Explorer window.
  • Click on the .gds file and drag it over to the G: drive
