Exporting Data from ebase

ebase has a number of "Reports" that can be used to export the basic information that you will want to transfer into GiftWorks. If you have heavily customized your ebase database, you may need to make modifications to the process below.

Exporting Contact Information

  1. In ebase, click on Reports, and select the Generic category.
  2. Click on the BASIC INFO+, EXPORT report.
  3. Click through the messages until you get to the Export Records to File dialog. Choose a name and location for your file (somewhere easy to remember is best, perhaps your Desktop).
  4. On the next screen, ebase shows you the fields that will be included in the report.
  5. Scroll through the list of fields on the left side and, if there are fields that you want to include that are not in the list of fields on the right, click on the field on the left and then click the Move button to move the field to the list on the right. This is where you may need to take into account any custom fields you created in ebase.
  6. For Character Set, make sure "Windows (ANSI)" is selected.
  7. Make sure the "Don't format output" option is selected.
  8. Click Export.

Exporting Donation Information

  1. In ebase, click on Reports, and select the Financial category.
  2. Click on the BASIC PAYMENT, EXPORT report.
  3. You will probably want to leave the "Find Item Data" options blank, unless you know you only want to export a specific set of donations (e.g. from a certain date range). Once you've set (or cleared the "Find Item Data" options, click OK.
  4. Choose a name and location for your file (somewhere easy to remember is best, perhaps your Desktop).
  5. Scroll through the list of fields on the left side and, if there are fields that you want to include that are not in the list of fields on the right, click on the field on the left and then click the Move button to move the field to the list on the right. This is where you may need to take into account any custom fields you created in ebase.
  6. For Character Set, make sure "Windows (ANSI)" is selected.
  7. Make sure the "Don't format output" option is selected.
  8. Click Export.

Once you have your export files, if you're going to import them yourself, you will want to change the file extension from .mer to .csv so that the GiftWorks importer will recognize them.
