Reprint Receipts

If you processed your Receipts but forgot to Print them or need another copy you can follow the steps below.   
**Note: these steps are NOT for REPROCESSING Receipts due to a mistake / change that needs made to the Receipts**

You will first need to create a new letter template for this mailing.  See steps below:

  1. Click on Mailings at the top of the GiftWorks Screen
  2. Choose Manage Letter Library on the left side of the screen
  3. Select your existing Receipt Template (ex: Donation Receipt)
  4. Click Edit
  5. Click on the letter type drop down at the top left (beside the Insert Field option) and select Donation Letter (instead of Receipt Letter) – you will notice that a red warning appears stating that fields do not match the letter type.  You will need to remove all of the Receipt-related fields.
  6. Remove the “Donation: Receipt Number” insert field from the template.  If you have the “Donation: Donation Receipt Status Description” field inserted into the letter you will need to remove that as well.  Once you remove all of the Receipt-related fields that warning will disappear.
  7. You will now need to re-insert the Donation Receipt field. Place the cursor in the letter where you would like the receipt number to be inserted {this receipt number has already been assigned to the donation(s)}
  8. Click Insert Field at the top left corner of the letter editor screen and choose Donation Fields > Donation Receipt Number.  The field will be inserted as Donation: Donation Receipt Number
  9. Click Save and Choose the “Add to letter Library” option. Give your letter a name (Ex: REPRINT-Donation Receipt), you can also categorize the letter if you would like to
  10. Click Save

 Reprint a Receipt for One Donation

  1. Go to the Donor Profile of the person that donated the gift that you need to reprint a receipt for
  2. Select the Donation Tab then the Donation Details tab
  3. Click View Gift next to the gift that you are reprinting the Receipt for
  4. Click Send Mail > To this Donation on the left side of the screen
  5. Go through the Mailing Process and select the Donation Letter template that you just created (REPRINT-Donation Receipt) during the Select Letter step

Reprint Receipts for a SmartList of Donations

  1. Create a SmartList containing the donations that you need to reprint receipts for
  2. After saving the SmartList click Send Mail > Send Mail for These Donations on the left side of the screen
  3. Go through the Mailing Process and select the Letter template that you just created (REPRINT-Donation Receipt) during the Select Letter step
